Choose Electrician Software by the Work, Not the Crew Size

Every software demo opens the same way. How many electricians have you got? How many vans?
It sounds like a reasonable question. It is really a pricing question. Nobody has asked yet what you actually do all day.
Picture two shops with ten sparks each. One does nothing but service calls. The other bids fit-out jobs and waits on progress payments.
Same headcount. Almost nothing else in common. Both get shown the ten-user plan anyway.
One of them signs and gets on with it. The other realises in March that the thing cannot do progress claims. That is usually the point where someone sits down with a proper comparison of Electrical Contractor Software Platforms, after the first go already went wrong.
So here is the better sorting question. What does the work look like?
The phrase covers four different products
Search for electrical contractor software and everything lands on one page. Looks like a shortlist. It is not.
You are actually being shown four separate markets at once. Different vendors, different problems, sold under one phrase. Sorting them takes a minute and saves a year.
- Estimating and takeoff prices the job before you win it.
- Field service software runs the job after you win it.
- Accounting holds the ledger and nothing else.
- Construction project management handles the main contractor's paperwork.
A takeoff package will never dispatch anyone. Your accounts software has no idea what a work order is. Cross that line by accident and you have bought the wrong thing entirely. The classic version is buying a dispatch platform to fix an estimating problem.
Service work rewards keeping it simple
Start with the easy shape. Phone rings, someone goes out today, job done in two hours, card taken at the door.
Software for that gets judged on almost nothing. Can the customer book without ringing twice? Can whoever is on the phones assign it in seconds? Can the electrician invoice from the driveway?
Short list. Several products handle it well. The important bit is that it stays short.
- Online booking and same-day scheduling.
- Dispatch that anyone in the office can drive.
- An app your electricians will open without moaning.
- Card payment on site, not an invoice you chase for a fortnight.
The money gets wasted on structure nobody touches. Progress claims, retainage, project layers. A service business paying for that lot ends up with slower software and a bigger bill. Narrow tool, better adoption.
Construction work needs the opposite
Change the work and every requirement flips. Jobs start with a drawing set, not a phone call. Someone builds a bid weeks before a van moves.
Speed stops mattering much. Getting the estimate right matters enormously, because money lost at bid never comes back. Then the paper trail matters, because on this work the paper trail is the billing.
This is where most people find out they need two products.
- An estimating package for takeoff, labour units and live material prices.
- Something that bills against a schedule of values.
- Change orders held as records, not as notes in a box.
- Retainage that matches what you actually signed.
Most field platforms do none of that. They schedule people and invoice finished jobs, which is a different job. If you bid new build, buy the estimating tool first. Getting that order backwards is common and expensive.
Mixed work is the awkward one
Most electrical firms sit somewhere in the middle. Service pays the wages, contract work grows the business. The two halves want opposite things from one system.
Service wants fewer taps. Contract work wants phases and sign-offs. Run them separately and your lads are in two systems before lunch. That is when people quietly stop using both.
Worth knowing one pattern before you shortlist anything. The platforms built hardest for contract work get the worst reviews from field users. The service-first ones score highest and hold the least structure. Not a coincidence.
- More structure means more required fields on site.
- More fields means slower closes.
- Slower closes means workarounds.
- Workarounds mean your reports stop being true.
So if you do both, put the app in front of two of your own electricians. Not the salesperson, and not a tidy demo account. Take a job that went badly and see how many taps it needs.
Permits break nearly everything
One more thing, and it cuts across all three shapes. Permitted work changes the job structurally, and hardly any software copes.
A panel upgrade is never one visit. Permit first, before anyone drives out. Rough-in, then an inspection booked round somebody else's diary. Then the mast turns out undersized and the scope changes. Second day on site, final inspection, then you invoice the whole mess.
Most systems cannot hold that as one job. Here is what happens instead.
- One job becomes three, one per visit.
- The permit number lives in a spreadsheet.
- The permit fee never reaches the invoice.
- The variation gets discussed and never billed.
None of that surfaces in a demo. It surfaces in March when someone reconciles the year and finds work nobody charged for. If permitted jobs are real money for you, ask straight out whether the permit and the inspection exist as records. Watch how fast the subject changes.
Better questions than "how many electricians?"
The useful questions describe the work. Any vendor can answer them, and the answers separate products fast. Ask the same five every time, including of whatever you already run.
Answer them yourself first. Twenty minutes, and it saves you the wrong purchase.
- How much of your revenue is single-visit service work?
- How many jobs need a permit and an inspection?
- Do you bill finished jobs or a slice of a contract?
- Do you price off drawings, or off a site visit?
- How many people need to see the schedule but never touch it?
That last one catches people out. Per-seat pricing punishes you for every apprentice, admin and part-time bookkeeper. An unlimited-user company plan can beat every feature comparison going. The pricing model shifts the answer as much as the features do.
The budget is two numbers, not one
Last trap, and it is arithmetic. People compare headline prices and forget what sits alongside.
Bid new build and you own an estimating package as well as a field system. Nearly everyone owns an accounts licence too. Some vendors charge per user, some per usage credit, some sell a licence with a support plan bolted on.
Comparing headline figures across that lot tells you very little. Work out what the whole stack costs for your work. Then check something simpler still: does the vendor publish a price at all? Plenty do not, and that is worth writing down.
Buy for the work you have got on now. Your crew size will change. The shape of the work changes a lot more slowly.
